Commercial Coffee Machines - Buying Guide

Choosing the right commercial coffee machine starts with your site’s volume, drinks menu, and staff experience. Below is a quick guide to help cafés, offices and hospitality venues compare options and plan a reliable setup.

Choosing the Right Machine

Begin with expected drinks per day and peak-time demand. Bean-to-cup machines deliver speed and consistency with minimal training—ideal for offices and self-serve spaces. Traditional espresso machines (1–3 group) offer the best milk texture and shot quality for cafés and coffee-forward venues, paired with a separate grinder.

Key Features to Consider

  • Capacity & groups: 1-group for lower volume or mobile setups; 2-group fits most cafés; 3-group for sustained peak service.
  • Boiler design: Heat-exchanger and dual-boiler systems allow brewing and steaming together for speed and consistency.
  • Water treatment: Use the correct filtration/softening to protect boilers, reduce scale, and keep flavour consistent.
  • Power & plumbing: Confirm electrical supply, mains water, drainage and counter depth/ventilation before install.
  • Service & parts: Choose brands with strong UK parts availability and technician coverage for quick turnaround.

Buy vs Lease

Buying typically delivers the lowest total cost over time. Leasing allows you to rent the machine over a set period (often 24–60 months), protects cashflow and can bundle maintenance (not included with all machines, please contact us for details)—popular for new sites or upgrades. Compare total monthly cost against expected volume and margin, then choose the model that maintains quality and uptime. Want to learn more? See our buy or lease options.

Installation & Training

Professional installation ensures correct water setup, pressure, and calibration. We also offer basic training to help you get started.

Ongoing Maintenance

Protect taste and uptime with a simple routine. For traditional machines: daily backflushing and grouphead cleaning; scheduled gasket/screen changes; and timely filter changes or descaling (per water hardness). For bean-to-cup machines: daily milk-system cleaning and routine servicing at manufacturer intervals.

Not sure which machine is right for your site? Get in touch and we’ll size the ideal setup—including grinder pairing and water treatment—for your menu, volume and budget.

It depends on your drinks volume, menu, and staff experience. Bean-to-cup machines are ideal for offices and self-serve areas because they’re fast and consistent with minimal training. Traditional espresso machines suit cafés and restaurants that want hands-on control and high-quality milk texture.

We have both options available based on your preference. Buying allows you to take ownership, however it requires funds that you may prefer to utilise elsewhere in your business.

Leasing is a popular option that allows you to rent a coffee machine for a specific period in exchange for fixed monthly rental payments.

It allows you to avoid the large expense of buying a machine outright so you can invest money in other areas.

When leasing a machine you can receive the equipment you need right away, rather than waiting until you have budget available. You may also be able to receive tax relief that you wouldn't otherwise be entitled to when purchasing outright, along with the option to upgrade your machine to the latest model when the contract ends.

Leasing is typically available for a fixed duration of anywhere from 2-5 years and has flexible options at the end, where you can choose to extend the term, give the machine back or upgrade to a brand new machine with the latest upgrades.

We have a range of options depending on your volume and site facilities. Most bean to cup and 1 group machines can run off a 13amp plug, however many 2 and 3 group espresso machines require a hard-wired supply. Mains water connection with proper filtration, and a waste outlet are a must for most machines, however we do supply many tank fill models or mains water replacement tank and pump kits. Always check counter depth, ventilation and power rating before installation to make sure your workspace fits your chosen machine, and as always if you have any questions please let us know!

Yes — we offer full installation, setup and commissioning, plus basic training to help you get started. Our technicians can also advise on water treatment, grinder setup and daily cleaning routines.

For traditional commercial espresso machines, backflush and clean groupheads daily with a suitable cleaning fluid. We also recommend a 6 month or annual service (depending on volumes), which will replace seals & screens, service valves, service steam arms and change filters as recommended. Bean-to-cup machines generally need cleaning cycles and periodic servicing. Regular maintenance keeps your drinks tasting fresh and prevents costly breakdowns. We can assist with all service requirements and provide full maintenance advice.
